What is an AI document management system?
An AI document management system stores your documents and also understands them. Makez.ai classifies
each file, extracts the data inside it, checks it, files it and makes it searchable, so documents become
usable data instead of files in a folder.
How is Makez.ai different from a traditional DMS or an OCR tool?
A traditional DMS stores and versions files. OCR turns images into text. Makez.ai is AI-native: it reads
documents the way a person would, extracts the fields you care about with evidence and confidence, sends
only exceptions for review, answers questions with sources, keeps documents audit-ready for years and
tracks the paper originals too.
What types of documents can Makez.ai process?
Invoices, purchase orders, credit notes, receipts, bank statements, contracts, quotations, delivery
notes, HR documents, expense claims and policies are built in. You can add new document types and fields
in settings without code. PDFs, scans, photos, Word, Excel, PowerPoint, CSV and email files are supported.
Does Makez.ai work with SAP, Oracle, Tally or Microsoft Dynamics?
Yes. Makez.ai sits between your documents and your ERP. Verified data goes out as Excel, CSV or
structured JSON, a REST API lets your systems read records, and every document has a stable reference your
ERP can store. Companies without an ERP can use Makez.ai on its own.
How long can documents be retained for audit?
Retention is set by policy, eight years by default, with overrides per document type. Legal holds block
disposal, disposal and destruction need an approved reason, and a signed data log records every change,
view, export and email.
Can Makez.ai track physical paper documents?
Yes. Every paper original gets a permanent ID with a QR code and barcode label. Scanning it shows where
it is stored, who has it and its full chain of custody, with check-out, return, transfer and verification
recorded.
Can I upload documents in bulk?
Yes. Drop in files, whole folders or ZIP archives, or bring them in from email, OneDrive and SharePoint,
AWS S3, Azure Blob and shared folders. Identical files are detected by checksum and skipped automatically.
Is my data used to answer questions accurately?
Ask AI answers only from your own records and cites the documents it used. When the documents do not
contain the answer, it says so instead of guessing.
